1Definitions

For these Terms:

• Platform means the Republic World Events website and its associated booking interfaces and digital services.
• Event means any conference, summit, programme, conversation, exhibition, workshop, seminar, awards programme, networking event or other event listed on the Platform.
• Organizer means Republic World Events or an authorised event organiser responsible for an Event.
• Ticket means a valid digital or printed ticket, pass or entry credential issued through the Platform.
• Booking means a confirmed reservation or purchase of one or more Tickets.
• Venue means the physical location where an Event is held.
• User / You / Your means any person who accesses the Platform, makes a Booking or attends an Event.

2Eligibility

You must provide accurate and complete information when registering or purchasing a Ticket.

Unless otherwise specified for a particular Event:

• You must be at least 18 years old to make a Booking.
• Where minors are permitted to attend, they may be required to attend with a parent or legal guardian.
• You must comply with these Terms, Venue rules and applicable laws.

We may refuse or cancel a registration or Booking where information provided is materially false, misleading, incomplete or used for an unlawful purpose.

3Registration and User Account

Certain Platform features may require registration or verification using your mobile number, email address or One-Time Password (OTP).

You are responsible for:

• Providing accurate information;
• Keeping your account and login information secure;
• Keeping your contact information updated; and
• Activities carried out through your account.

If you believe your account or Booking information has been misused, please contact us promptly.

We may suspend or restrict an account where we reasonably believe it has been used fraudulently, unlawfully or in material violation of these Terms.

4Event Registration and Ticket Booking

All Bookings are subject to Ticket and seat availability.

A Booking will be considered confirmed only when:

1. Payment has been successfully completed;
2. A Booking ID has been generated; and
3. A confirmation email, SMS or digital Ticket has been issued.

A payment attempt alone does not necessarily mean that a Ticket has been confirmed.

If money has been debited but you have not received a Booking confirmation, please contact our support team with your transaction details.

We may investigate and resolve duplicate transactions, technical errors, suspected fraud or genuine pricing errors in accordance with applicable law and the applicable refund policy.

5Ticket Categories and Benefits

Different Events may offer different Ticket categories, including Premium, VIP, Gold, Silver, General Admission, Delegate, Student or Corporate categories.

The benefits of each category may include:

• Specific seating;
• Food or refreshments;
• Souvenirs or merchandise;
• Studio tours;
• Networking access; or
• Other Event-specific benefits.

Only the benefits specifically displayed for the relevant Event and Ticket category are included with your Ticket.

Benefits may not be transferred, exchanged or substituted unless expressly stated otherwise.

6Ticket Prices, Taxes and Charges

Ticket prices and applicable charges will be displayed on the relevant Event page before payment.

The final amount payable will be shown before you complete your purchase.

Where applicable, the amount may include:

• Ticket price;
• Applicable taxes;
• Booking or convenience charges; and
• Optional add-ons selected by you.

Please review the final Booking summary carefully before making payment.

Event-specific pricing and inclusions shown on the booking page will apply to that Event.

7Seat Selection and Allocation

Where seat selection is available, you may select an available seat during the Booking process.

Seat availability is displayed on the Platform and may change in real time.

Selecting a seat does not by itself guarantee the seat until the Booking and payment are successfully completed.

Selected seats may be temporarily held during checkout. If payment is not completed within the applicable time period, the seat may be released for other users.

Where seats are not selectable, seats may be allocated by the Organizer or Venue.

Where an operational, safety, technical or logistical requirement makes a seat change necessary, we may change the seat allocation. Where reasonably possible, an equivalent seat will be provided.

8Cancellation and Refunds

Cancellation and Refunds:Cancellation and refund eligibility is governed by the following 7-Day Cancellation & Refund Policy.

7-Day Cancellation & Refund Policy: Customers may request cancellation within 7 calendar days from the date of booking, subject to the conditions below.

• Eligibility: The cancellation request must be submitted within 7 calendar days of the booking date, and the Ticket must be unused and not checked in for the Event.
• Refund Method: Approved refunds will normally be processed to the original payment method used for the Booking.
• Processing Time:After approval, refunds may take 5–10 business days to reflect in the customer's account, depending on the payment gateway and bank or financial institution.
• Applicable Charges: Any non-refundable booking or convenience charges may be deducted where they were clearly disclosed before purchase and such deduction is permitted by applicable law.
• After 7 Days: After the 7-day cancellation period, Tickets will generally be non-refundable, except where required by applicable law or where an Event is cancelled or rescheduled and the applicable Event policy provides for a refund.
• Event Cancellation: If an Event is cancelled by the Organizer, affected customers will be informed of the applicable refund or alternative arrangement.

9Event Changes, Rescheduling and Cancellation

Event dates, times, venues, programmes, speakers, seating arrangements or other Event details may occasionally change due to operational, safety, security, regulatory, technical or other circumstances.

Where a material change occurs, we will make reasonable efforts to communicate the change using the contact details provided during Booking or through the Platform.

If an Event is cancelled or materially changed, the applicable refund or alternative arrangement will be communicated to affected Ticket holders in accordance with the Event-specific policy and applicable law.

10Circumstances Beyond Our Reasonable Control

An Event may be postponed, rescheduled, modified or cancelled due to circumstances beyond the reasonable control of the Organizer, including natural disasters, severe weather, fire, government or regulatory restrictions, security threats, public health emergencies, civil disturbances, strikes, infrastructure or utility failures, or other circumstances affecting the safe or practical conduct of the Event.

Any refund or alternative arrangement will be handled in accordance with the applicable Event policy and applicable law.

11Admission and Check-in

A valid Ticket is required for entry.

You may be required to present:

• Your valid digital or printed Ticket;
• Booking confirmation; and
• Valid government-issued photo identification where required.

Where identity verification is required, the name on the identification document may be checked against your Booking information.

Entry may be refused where:

• The Ticket is invalid, duplicated, cancelled, altered or tampered with;
• Required identity verification cannot be completed;
• The attendee refuses mandatory security procedures; or
• The attendee materially violates these Terms or applicable Venue rules.

Where entry is refused because of an attendee's own actions or failure to comply with applicable requirements, refund eligibility will be subject to the applicable Refund & Cancellation Policy and applicable law.

12Security and Safety

For the safety and security of attendees, speakers, guests, staff and Venue personnel, security checks may be conducted before entry.

You may be required to undergo:

• Bag inspection;
• Metal-detector screening;
• Identity verification;
• Ticket or QR/barcode validation; and
• Other reasonable security procedures.

You must cooperate with reasonable security requirements.

Failure to comply may result in refusal of entry.

The Organizer or Venue security team may take reasonable action regarding prohibited items or conduct that presents a safety or security risk.

13Code of Conduct

We want every attendee to have a safe and respectful experience.

Attendees must not:

• Disrupt presentations, sessions or Event activities;
• Threaten, abuse, harass or intimidate others;
• Engage in discriminatory or unlawful behaviour;
• Harass speakers, guests, sponsors, staff or other attendees;
• Create a safety hazard;
• Damage Venue property;
• Enter restricted areas without permission;
• Engage in unauthorised commercial promotion or solicitation;
• Consume or distribute illegal substances; or
• Record restricted sessions where recording is prohibited.

We may refuse entry or remove an attendee where their conduct is unlawful, threatening, abusive, seriously disruptive, unsafe or materially violates these Terms or applicable Venue rules.

Any refund following removal will be subject to the applicable Refund & Cancellation Policy and applicable law.

14Prohibited Items

Unless specifically authorised, the following items are not permitted inside the Venue:

• Firearms or weapons;
• Explosives or fireworks;
• Flammable or hazardous materials;
• Illegal drugs or narcotic substances;
• Sharp or dangerous objects;
• Drones or unauthorised aerial devices;
• Laser pointers;
• Unauthorised banners, flags or promotional materials;
• Professional recording equipment where prohibited; and
• Any other item prohibited by the Venue, security authorities or applicable law.

Venue security may refuse entry or take appropriate action regarding prohibited items in accordance with applicable law and Venue policies.

15Photography, Video and Recording

Events may be photographed, filmed or recorded for legitimate purposes including event coverage, editorial and news coverage, promotional and marketing activities, social media, archival purposes, and security and operational purposes.

By attending an Event, you acknowledge that you may appear incidentally in photographs, videos or recordings of the Event, subject to applicable law.

Where specific consent is legally required, appropriate consent mechanisms will be provided.

Attendees must comply with any Event-specific restrictions relating to photography, recording, livestreaming or redistribution of Event content.

16Privacy and Personal Information

We collect and use personal information to provide registration, ticketing, payment support, Event communication, customer service and security-related services.

Information may include, where applicable:

• Name;
• Mobile number;
• Email address;
• Booking information;
• Seat information;
• Ticket/QR-code information;
• Payment transaction information;
• Identity information where required; and
• Event attendance/check-in information.

Payment card details, CVV, UPI PIN and internet-banking credentials are not stored by Republic World Events and are processed through authorised payment service providers as described in our Privacy Policy.

Please read our Privacy Policy for complete information about how personal information is collected, used, stored and protected.

17Payment Security

Payments may be processed through authorised third-party payment service providers.

For your security:

Republic World Events will never ask you to disclose your OTP, PIN, CVV, UPI PIN or internet-banking password through an unsolicited call, email or message.

If you receive a suspicious payment request claiming to be from Republic World Events, please contact us using the official contact details published on the Platform.

18Fraudulent, Duplicate or Invalid Tickets

Tickets must not be forged, duplicated, altered, resold where prohibited, manipulated or used for fraudulent purposes.

We may cancel a Booking or Ticket where there is reasonable evidence of:

• Payment fraud;
• Duplicate transactions;
• Ticket manipulation;
• Unauthorised promotional activity;
• System abuse; or
• Material violation of these Terms.

Only a valid Ticket recognised by the Event's entry system will be accepted for admission.

19Third-Party Services

The Platform may use authorised third-party service providers for services such as payment processing, ticket delivery, identity verification, fraud prevention, communications, analytics and customer support.

Third-party services may be governed by their own terms and privacy policies.

We will take reasonable steps to use authorised service providers, but technical interruptions or failures outside our reasonable control may occasionally occur.

20Intellectual Property

The Platform and its content, including logos, Event branding, text, graphics, photographs, videos, designs and other materials may be protected by intellectual-property rights.

You may use the Platform for personal and lawful purposes.

You must not reproduce, modify, distribute, commercially exploit or publish Platform content without appropriate permission.

21Limitation of Liability

We will take reasonable steps to provide the Platform and Event services as described.

To the maximum extent permitted by applicable law, we will not be liable for indirect, incidental or consequential losses that were not reasonably foreseeable.

Nothing in these Terms excludes or limits any liability, statutory right or consumer remedy that cannot legally be excluded or limited under applicable law.

22Complaints and Grievance Redressal

If you have a question, complaint or concern regarding a Booking, Ticket, payment or Event, please contact our customer support team.

When contacting us, please provide, where available:

• Booking ID;
• Registered mobile number;
• Registered email address;
• Payment/transaction reference; and
• Details of your concern.

We will review and respond to complaints in accordance with our applicable grievance-handling process and law.

23Governing Law and Jurisdiction

These Terms shall be governed by the laws applicable in India.

Any dispute will be handled in accordance with applicable Indian law and by the competent courts or authorities having jurisdiction, subject to any mandatory consumer rights and remedies available under applicable law.

Nothing in these Terms prevents a consumer from exercising a statutory right or remedy available under applicable law.

24Changes to These Terms

We may update these Terms from time to time to reflect changes in Events and services, technology, operational practices, security requirements or applicable laws and regulations.

The latest version will be published on the Platform with its applicable Effective Date and Last Updated date.

For material changes affecting existing Bookings, we will make reasonable efforts to provide appropriate notice where required.
